Relocating around 300 people from a premise encompassing three buildings and several floors, into one building with two floors, over four weekends, is a task that involves careful planning and management if everything is to run smoothly.

Thanks to BDO Greenlight project managing key elements of our move, it was completed on time, on budget, and with minimal disruption to staff and business activities.

A move of this size is not only complicated in the physical dimension – it’s all the other things that require a lot of thought to make everything work. This includes aspects such as migrating contracts for facility suppliers, negotiating new contracts, and terminating existing contacts – something the consultants managed very successfully.

BDO Greenlight added value in many ways. They supported the selection and implementation of a new follow-me printing system to improve printing efficiency, negotiated cleaning and vending contracts, and helped ensure we protected office equipment warranties by selecting and using appropriate services. They also supported our change of address workstream, ensuring we informed all clients and relevant parties. Perhaps most significantly, they gave us peace of mind by keeping a robust project audit trail to ensure good governance.

Minerva’s aim was to develop an appropriate project management framework for a specific project, and then use the framework for other projects in the future. BDO Greenlight was engaged to help us build the framework and work with individuals across the Group over a nine month period to bed the methodology in.

From the start BDO Greenlight was very clear in how the work could be structured and helpful in clearly setting out what we wanted to achieve.

The methodology BDO Greenlight helped us build, and which Allam has provided training and guidance on, has gradually been adopted across all jurisdictions on appropriate projects and is now starting to bed into BAU, despite some initial reluctance and even resistance.

Allam was very helpful in assisting and enabling the “project managers” to tailor documents to their specific project and he was a good sounding board and mentor to the project managers at key stages, in assisting the managers to ensure the momentum of their projects continued.

Working with BDO Greenlight has been interesting and useful and has changed how we manage projects and report on them. The Project Highlight Reports has enabled Senior Management to have better oversight of key initiatives and has increased the accountability of all involved in the projects.
